Create custom labels

You can assign labels to any location or event to print important information about each checked-in person. To manage labels, go to the Labels page in Check-Ins and view the two default labels or create your own custom labels.

Default labels are marked with a 🔒 lock icon in the top right corner of the label.

  • The default name label includes the attendee's first and last name, security code, who checked them in (and their phone number), times with location, selected options, and medical notes.

  • The default security label includes the current date and time, the security code, and a barcode for scanning at a manned or roster station.

Tip

While default labels cannot be modified or deleted, you can remove them from events and add the custom labels you've created.

When the default labels don't meet your needs and you require more flexibility, create your own and include custom fields.

Create and customize the label

  1. Select the Labels page from the top navigation in Check-Ins.

  2. Select Add Label in the top right corner.

  3. Name your label.

  4. Select the type of label: Name Label, Security Label, or Birthday Label.

  5. Choose a template to customize it: Default, Blank, or Copy from an existing label.

  6. Since each printer has a specific label size as outlined in its specific printer information guide (Brother, Citizen, Dymo, Zebra), choose the printer model group that will primarily be used to print this label. If you're using a label size different from that printer's default label, check the box next to Custom.

  7. Select Create Label in the bottom right corner of the popup to go to the Label Editor.

On the Label Editor page, follow these steps to customize your label:

Tip

If you're using a Dymo Printer, make sure you check the box to Show Dymo Margins at the top of the page before you start customizing to see what the label will look like.

  1. Select an existing element to modify its settings or delete it.

  2. In a blank space on the label canvas, select and drag to create a box to open all available block types.

  3. Select a block type that matches the information you want to add. The table below outlines what each block type can do; please note that not all block types are available for each label type.

    Person details

    Information about the person who is receiving the label, such as name, age, birthdate, grade, and medical notes.

    Tip

    Check-Ins prints the first name on the label. If someone goes by multiple names, use the given name field to show their legal name.

    Check-in details

    Anything pertaining to the check-in, like location, times, and the person who checked them in. For events using the Registrations and Check-Ins integration, you can sync assignments as locations that can be printed on labels.

    People

    Choose a custom People field, and use conditional formatting, when applicable, to choose what to print.

    Registrations

    With the Check-Ins integration, you can add Selection Type, Add-On Summary, and Assignment Summary.

    Text

    Every label will print the text you enter.

    Security code

    Choose where to add the security code and how it should be formatted.

    Line

    Add lines to break up the text on the label. The line will be at the top of the box you drag.

    Image

    Add an image to every label. For best results, format the image size in a third-party image editing software before uploading.

    Tip

    Use the image sizing guide to upload the right size and file type.

    Barcode

    Barcodes are generated from the security code field. They can be scanned at a manned or roster station for checking out.

  4. Once you select a block type, use the dropdowns to customize its formatting.

    • Max size: Choose a size between XXS and 3XL.

    • Overflow: Choose how to display text that extends beyond the boundaries of the field.

      Tip

      If you are not using abbreviations or codes in your medical notes field, consider making the block larger and choosing the Shrink to Fit (with Wrap) option.

    • Styles: Bold the text in the selected block or invert the color to white text with a black background.

    • Alignment: Align the text, image, or barcode within the block to your preference.

    • Arrangement: Rotate the text, image, or barcode to change its orientation, bring it to the front layer, or send it back a layer.

  5. Select Done in the bottom right corner of the screen.

  6. Continue selecting and dragging blocks to add more block types and fields.

  7. (Optional) Check the box next to Use Sample Data to see what the label will look like with realistic information.

  8. Once your label is formatted the way you want it, select outside of the block or label and then select Save Label in the bottom right corner of the screen.

  9. (Optional) If you need to create more custom labels, return to the Labels page by selecting All labels in the top left corner of the screen.

Once you've made a custom label, make sure to add it to your events and locations.

If you created labels before universal printing was introduced, they're considered legacy labels. Learn more about them below.

Important

You can still use these labels, but you cannot create brand-new legacy labels.

Name label

Name, location, date, and medical notes will show on the name label, but you can add or remove other information:

  • Checked in by: Print the name and mobile number of the parent or guardian who checked in the person.

  • Consecutive number: This option is helpful if you use numeric paging systems. Numbers reset to 1 each day at midnight, based on your timezone.

  • Security code: If you're not using security labels, like for a choir or youth group, you can remove the security code from the name label.

Security label

A security label will print the date, security number, and the barcode. Choose what should be printed alongside the consecutive number:

  • Consecutive numbers: Print only the number that appears on the side of the name label.

  • Consecutive numbers with names: Print each person's number alongside their name.

  • Consecutive numbers with locations: Print the number and location for each person.
