Add people to Calendar

Unlike adding a person to People, adding someone to Calendar automatically gives them access to use Calendar. Give people Calendar access if they're involved in running your facilities, such as your church's staff and volunteers.

Everyone with a Calendar profile can view all events, but you can set the appropriate permission levels in other areas for each person when you add them.

Tip

Use an event request form to allow people to request events without being added to Calendar.

Give access

If you need to add someone who already has a profile in People, you can give them Calendar access:

  1. Select the People page from the top navigation in Calendar

  2. Select the Add person button in the top right.

  3. Search for the person's name in the New Person pop-up.

  4. If the person has an existing profile in People, select their name from the dropdown.

  5. Use the dropdowns in the following pop-up to set their permission levels in Calendar.

  6. Select Save.

If this person is in charge of approving any rooms, resources, or event requests, add them to the necessary approval groups.

Create a new person

If you need to add someone who doesn't already have a People profile, you can create a new person:

  1. Select the People page from the top navigation in Calendar

  2. Select the Add person button in the top right.

  3. Enter the person's full name into the search field, then select Create a new person: [Name].

  4. Enter their profile information in the pop-up.

    Important

    Make sure to enter an email address so they can receive a welcome email. They must follow the instructions in the welcome email to set up their login information.

  5. Select Save.

  6. Use the dropdowns in the following pop-up to set their permission levels in Calendar.

  7. Select Save.

Access Calendar profiles

  1. Select the People page in the top navigation.

  2. Select a name from the list to open that person's profile, or use the search bar to find someone by their name, email, or phone number.

  3. Take the following actions on their profile page:

    • Select the Overview tab to see a list of upcoming events they own or manage. The list also shows events for which the person is an approver.

    • Select the Communication tab to view their communication history.View communication history

    • Select Actions in the top right to edit their profile information or manage their permissions.

Import using a CSV File

If you want to add multiple people to your database at once, an organization administrator or manager can import them using a CSV in People.

Important fields to import 

  • Household ID groups household members together, so you can choose who can check a child in or out of an event.

  • Primary contact appears in reports, along with the person who checked in.

  • Mobile number lets you send a text to an adult if you need them during an event. Add numbers to the correct profile—don't store a parent's phone on their child's profile.

  • A barcode can make checking in easier and faster.

  • Grades and birthdates make sure children can check into the correct location quickly.

  • Medical notes help you keep track of sensitive information on printed labels and keep children safe.
