Create an approval group

Anyone with people editor permissions can create a new approval group.

  1. Select the People page in the top navigation.

  2. Select the Approval Groups tab.

  3. Select New approval group in the top right.

  4. In the Group name section, enter a name for the new approval group.

  5. In the Members section, search for people and select their names from the list to add them as approval group members. Select the X next to someone's name to remove them from the list.

  6. Select Create to finish creating the approval group.

Important

Members are not notified when they're added or removed from an approval group.

Assign approval groups

Once you've created an approval group, you can assign it to your rooms, resources, and event request forms. When an approval group is assigned to a room, resource, or event request form, one person from each assigned approval group must approve the request.

Assign to rooms and resources

Room and resource creators can assign approval groups when creating new rooms and resources. You can assign multiple approval groups to any room or resource.

To assign approval groups to an existing room or resource:

  1. Select the Rooms or Resources page from the top navigation.

  2. If you have multiple folders, select the folder containing the room or resource you'd like to assign.

  3. Select a room or resource from the list to open its settings page.

  4. In the Approval groups section, select Add approval group.

  5. Select an approval group from the list to assign it to this room or resource. To remove an approval group from a room/resource, select the X next to its name.

Assign to event request forms

Event administrators assign a default approval group when an event request form is created. Each event request form can only have one approval group assigned to it.

To assign an existing form to a different approval group:

  1. Select the Forms page in the top navigation.

  2. Select the form you'd like to edit.

  3. Select the Settings tab.

  4. Select a new approval group from the Approval group dropdown.

Edit an approval group

Anyone with people editor permissions can rename or edit your organization's approval groups.

  1. Select the People page in the top navigation.

  2. Select the Approval Groups tab to view your existing approval groups.

  3. To rename an approval group, select the ✏️ edit icon next to an approval group's name.

  4. Select the arrows next to an approval group's Members, Rooms, Resources, or Forms sections to expand and edit them.

    Important

    You can only edit an event request form's approval group on the form's settings page.

    • Select Add [member/room/resource] in the corresponding sections to add new members, rooms, or resources to an approval group.

    • To remove a member, room, or resource from an approval group, hover over it and select the red X that appears.

Delete an approval group

If you no longer need an approval group, you can delete it from your organization.

Warning

You cannot recover an approval group once it's been deleted.

  1. Select the People page in the top navigation.

  2. Select the Approval Groups tab to view your existing approval groups.

  3. Select Delete in the top right corner of an approval group.

  4. Type "DELETE" in the pop-up to confirm deletion.

  5. Select Yes, delete this approval group to permanently remove it from your organization.
