Move to multiple service times
If you're transitioning from a single service time to multiple service times, follow along with this article to set up your service type by doing the following:
Update your service type's time preferences.
Set up split teams.
Update your scheduling templates.
Add new times to your plans.
Tip
Check out the article on planning a special service if you only need to add times for a single service, such as Easter or Christmas.
Update time preferences
Before adding the new service time(s) to your plans, you must update the time preferences listed on the service type's settings page.
Time preferences determine which times are available on your templates. If you have split teams on your template, you can't add needed positions for the new times unless they're listed as time preferences first.
Important
If you need to use your old templates before the transition, keep the old service time as a time preference, then delete it after the transition.
Set up split teams
If you need to schedule different team members for each service time, turn on the split team setting for your teams.
This setting applies to individual teams, so you can choose which teams should be set up as split teams. If you plan on scheduling the same team members for each new service time, you don't need to set up split teams.
Update scheduling templates
After adding your new time preferences, update your scheduling templates or create new ones to reflect the new structure. As long as the new service times are listed as time preferences, you can add needed positions for the new times in any templates that have split teams.
Add new times to your plans
You can either create new plans from scratch or update your existing plans to reflect the new times.
Create a plan with the new times
If you haven't created plans for the weeks following the transition yet, start by adding a plan with the new times. You can use this plan to copy the new service times to future plans.
Select the Plans page in the top navigation.
If you have multiple folders, go to the folder that contains the service type you're working with.
Scroll down to the service type you're working with.
Select Add plan below the list of upcoming plans in that service type.
In the Copy Times From dropdown, select None (no times).
Important
The Starting On dropdown will be grayed out, but you can manually add the new service times and dates after creating the plan. The plan will appear as "No dates" until you add service times.
(Optional) If you've updated your templates to reflect the new structure, select a template from the Templates dropdown.
Select Add 1 to go to the new plan page.
Select the Add button next to the Times header in the left sidebar.
Enter the start and end times for your new service time in the Add Time popup.
Select the date when your new service structure will take place.
Adjust your assigned teams and positions for this service time.
Select Save to create the first service time. The plan will now reflect the date you selected for this service time.
Repeat steps 8 through 12 to add the remaining service times.
Once you've created a plan with the new service times, you can choose that plan's date in the Copy Times From dropdown when creating future plans.
Add new times to existing plans
If you've already created plans for the time period following the transition, you can add the new times to your existing plans and delete the old times if needed.
Select the Plans page in the top navigation.
If you have multiple folders, go to the folder that contains the service type you're working with.
Scroll down to the service type you're working with.
Select the plan date when your new time structure is scheduled to take effect.
Select the Add button next to the Times header in the left sidebar.
Enter the start and end times for your new service time in the Add Time popup.
Adjust your assigned teams and positions for the new service time.
Check the Create this time in future plans box to add this new service time to all subsequent plans.
Select Save to create the new service time.
Repeat steps 5 through 8 if you need to add more service times.
Important
If you no longer need the old service time (e.g., if you're moving from a 9:00 a.m. service to an 8:30 a.m. and 11:00 a.m. service), you must delete the old time from each individual plan.
Once your existing plans reflect the new service time structure, you can import templates to multiple plans and start scheduling your teams.
