Add and assign times

In this section:

Create times in your plans so team members know when they're needed. Assign teams and positions to your times so you can avoid scheduling conflicts.

There are three different types of times you can create in a plan:

  • Service Times: Service times are when your service(s) occur. This is the main type of time in a plan, as it determines your plan's date and ensures that assigned team members can avoid scheduling conflicts.

  • Rehearsal Times: Add times for any rehearsals where your worship or A/V teams are needed. For example, if you have midweek or pre-service rehearsals, add them as rehearsal times so they show up in your team's reminder emails.

  • Other Times: These include any non-service and non-rehearsal times that are important for your team to know about, such as arrival times or setup/teardown times.

Any time you create appears in the Times section of an individual plan page. You can add multiple times to a plan, depending on what your service needs. Times are color-coded by each day of the week, so you can quickly distinguish between times if your plan spans multiple days.

Why are time assignments so important?

Most of the things that make Services so valuable are based on what time each volunteer is serving. If their team is not assigned to at least one service time:

  • The plan will not be shown on their My Schedule page in Services.

  • The plan will not be shown on their Me page in Church Center.

  • They will not get any reminders.

  • Blockout, conflict, and preference notifications won't work.

You can adjust time assignments when creating or editing times in a plan.

Add times to plans

You must have people and plan editor permissions or higher to add times and update team assignments.

Add a service time

Warning

Service times determine your plan's date. Without at least one service time, your plan will appear as No dates on the Plans page. 

Add rehearsal or other times

You can create separate times for rehearsals, team arrivals, or other times when your teams need to meet outside of the service. These times appear in either the Rehearsal & Other Times section.

Edit times

People and plan editors or higher can edit times and assignments for a specific plan. If necessary, you can apply these changes to future plans and previously scheduled team members.

Tip

If you need to adjust times for entire plans, you can reschedule your plans.

Delete times

If you no longer need a time, you can delete it from the plan. You must have people and plan editor permissions or higher to delete a time.

There's no way to bulk delete times from multiple plans, so you must manually delete times from each individual plan. 

Warning

Deleted times cannot be recovered.

View assigned times

You can see the times to which you've been assigned by expanding the Times section on the left sidebar of an individual plan page. Your assigned times will show up differently depending on your permission levels:

  • Scheduled viewers can only see the times for which they're scheduled.

  • People with viewer permissions and higher can see all of a plan's times. Their assigned times will be highlighted, while the times to which they're not assigned will be grayed out.

Assign new teams to multiple times

On the web version of Services, you can use time assignments if you make a new team and want to assign it to multiple times at once, even across plans in the future where the times aren't the same. This saves you from having to edit each one individually.

  1. Select the Plans page from the top navigation in Services.

  2. If you have multiple folders, select the folder that contains the service type you're working with.

  3. Select the plan you'd like to edit.

  4. Select the arrow next to the Times section header on the left.

  5. Choose Team Assignments from the menu options.

  6. In the Team Assignments section, select your team from the dropdown.

  7. Check the boxes next to any times that apply to this team.

  8. Select Submit to finish assigning your team to these times.

These time assignments reflect the current plan and all future plans. So, if you see a time not listed in the current plan, it exists in a future plan. These assignments are reflected in the times and on a person's schedule.
