Move to one service time

If your services are moving to one service time, you want your plans to reflect that. However, you also want to make sure your teams are still being scheduled in a way that makes it easy to go back to multiple services again.

So, the week before your single service, disable any split teams, set up your templates, and then update your plan times.

Disable split teams

You'll need to disable the split teams setting for any teams that you currently schedule for multiple times.

Warning

Why not leave teams as split teams? 

If you leave the teams split, you won't be able to create a new template for your single service. Templates can only be used for split teams if the new service time exists in the split team time preferences.

  1. Select Plans in the top navigation.

  2. If you have multiple service types, find the ones affected by the time change.

  3. Select the ⚙️ gear icon to the right of the service type.

  4. Choose Teams from the dropdown.

  5. Select one of the split teams you need to disable. Split teams have a split-arrow icon next to their name.

  6. Open the Settings tab.

  7. Deselect the checkbox under Split Team

Once you turn off the split team setting, your team will be assigned to a single time within the plan. As long as you don't delete the previous time preferences, your team members' time preferences will be saved for you to use if/when you re-enable split teams in the future.

Previously scheduled split team members will appear under a single team on the old plans. However, when you select a person's name, the Editing Scheduled Person popup will show the single time they served when the team was initially a split team.

Set up templates

Set up new scheduling templates for your single service structure!

  1. Select Plans in the top navigation.

  2. Select the ⚙️ gear icon to the right of the service type.

  3. Choose Templates from the dropdown.

  4. Select Add template to create a new template.

    Important

    If you edit your existing templates instead, your previous split teams will be consolidated into a single team, so you'll need to adjust your positions and team members accordingly.

  5. Type your new template's name in the input field, then select Enter

  6. Select the Teams tab to update needed positions or add specific team members to your template.

Once your new and current plans reflect your single service, you can import this template to schedule your teams.

Update plan times

Remove additional times, and then update the remaining service time if needed.

  1. Select Plans in the top navigation.

  2. If you have multiple service types, find the ones you need to update.

  3. Select the date when your new service structure will take place.

  4. Select the times you no longer need from the Times section. 

  5. Select Delete in the bottom right of the popup to remove that time permanently.

  6. Select the service time you want to keep.

  7. Adjust the start and end times in the  Edit Time popup if needed.

  8. Review the assigned teams and positions and make sure the right people are assigned to your new time.

  9. If you've already created plans after this one, select Update time in future plans and Update existing people's assignments to apply your changes to upcoming plans.

  10. Select Save to apply your changes.

Restore split teams

If you need to return to multiple service times, you can restore your split teams!

  1. Select Plans in the top navigation.

  2. If you have multiple service types, find the ones affected by the time change.

  3. Select the ⚙️ gear icon to the right of the service type.

  4. Choose Teams from the dropdown.

  5. Select the team you'd like to restore as a split team.

  6. Open the Settings tab.

  7. Select the checkbox under Split Team

Previous time preferences will be restored, and old plans will return to showing the people assigned to the correct times.
