Set up scheduling templates

If your team uses all or even some of the same people every week, create templates to help you schedule faster. If you have rotating teams, add each rotation to a template, and then import that template to any plan.

Templates are connected to service types, so you must recreate or import your templates in any service type where they're needed.

Important

Before creating a template, set up your teams and assign them to the service type you're working with.

Create a scheduling template

Use scheduling templates to quickly import positions or team members into your plans as needed. Templates can include needed positions, specific team members, or a combination of both!

  1. Select the Plans page in the top navigation.

  2. If you have multiple folders, select the folder that contains the service type you're working with.

  3. Select the ⚙️ settings icon in the top right of a service type.

  4. Choose Templates from the dropdown.

  5. Select Add template in the top right.

  6. Enter the name of the template, and then press Enter to open your new template.

  7. Select the Teams tab.

  8. Select Team actions in the top right.

  9. Choose Needed positions from the dropdown.

  10. Select the ➕ plus and ➖ minus icons to set how many people you need for each position.

    Important

    To add needed positions for a split team, you must update your service type's time preferences so that the correct times appear as options. There's no way to add service times to a template.

  11. Select Done to finish adding your needed positions.

  12. (Optional) If you have specific team members you want to schedule every time you import the template, select the corresponding needed position and choose that team member from the list to add them to the template.

Once you leave the template, your changes are automatically saved. After setting up your template with people and positions, you can:

Tip

If you want to schedule teams of people to serve on a rotating basis, create a separate template for each team.

For example, if you have different people who serve every other week, you can create two separate templates for your team: one that serves on weeks 1 and 3 and one for weeks 2 and 4.

Edit a scheduling template

  1. Select the Plans page in the top navigation.

  2. If you have multiple folders, go to the folder that contains the service type you're working with.

  3. Select the ⚙️ settings icon in the top right of the service type you're working with.

  4. Choose Templates from the dropdown to view a list of templates connected to that service type.

  5. Select the template name from the list to open it. Any changes you make to the Order or Teams tab will automatically be saved.

Delete a scheduling template

Warning

You cannot restore a template once it's been deleted.

  1. Select the Plans page in the top navigation.

  2. If you have multiple folders, go to the folder that contains the service type you're working with.

  3. Select the ⚙️ settings icon in the top right of the service type you're working with.

  4. Choose Templates from the dropdown to view a list of templates connected to that service type.

  5. Hover over the name of the template you want to delete.

  6. Select the red ⊖ minus icon that appears in the far right column to delete that template.

  7. Select Yes, delete forever in the confirmation popup.
