Add files to a plan

If you need your team to access files for your services, you can attach them to plans or service types! Consider how frequently your team will need these files to determine whether to upload them to a plan or a service type.

Add files for single-use

Some files, such as announcements or stage layouts, only apply to one service. Add those types of files directly to the plan.

If the file applies to the entire plan, add it to the Files section:

  1. Select the Plans page in the top navigation.

  2. Select a plan from the service type you're working with.

  3. Select Add from the Files section on the left sidebar. If the Files header is grayed out, select it to expand the section first.

  4. Select a file to upload to this plan:

    • Drag and drop a file into the popup, or select browse to open your device's file browser.

    • Select Stage Layout to create a stage layout for this plan.

    • Select Video to attach a video from an online streaming service like YouTube or Vimeo.

    • Select File Link to add an external link.

    • Select a tag from the dropdown to attach a tag to this file.

  5. Select Done to finish uploading your file.

If the file only applies to one part of the service, add it to a specific plan item:

  1. Select the Plans page in the top navigation.

  2. Select a plan from the service type you're working with.

  3. Select the Order tab.

  4. Select a plan item top open the Edit item sidebar.

  5. Select the Files tab.

  6. Select Add File.

  7. Select a file to upload to this plan:

    • Drag and drop a file into the popup, or select browse to open your device's file browser.

    • Select Text Document to create a new text document.

    • Select Video to attach a video from an online streaming service like YouTube or Vimeo.

    • Select File Link to add an external link.

    • Select a tag from the dropdown to attach a tag to this file.

  8. Select Done to finish uploading your file.

Warning

Files added to the plan still take up space in your file storage, even after the plan has passed. Once the plan date has passed, you can delete the files from the plan to save space in your account.

Add files for regular use

Some files, such as a startup and shutdown procedure, are necessary every time a plan is created. Add those files directly to the service type to make them available on each plan in that service type.

Add files to a service type

To attach a file to all plans in a service type:

  1. Select the Plans page in the top navigation.

  2. Select the ⚙️ settings icon to the right of the service type you're working with.

  3. Choose Settings from the dropdown.

  4. Scroll down to the Files section and select Add.

  5. Select a file to upload to this service type:

    • Drag and drop a file into the popup, or select browse to open your device's file browser.

    • Select Text Document to create a new text document.

    • Select Video to attach a video from an online streaming service like YouTube or Vimeo.

    • Select File Link to add an external link. Select a tag from the dropdown to attach a tag to this file.

    • Select a tag from the dropdown to attach a tag to this file.

  6. Select Done to finish the process.

Files added to the service type settings page will be accessible from the Files section on the left side of a plan.

Delete files from a plan or service type

You can delete files from the plan or service type pages where you originally uploaded them. After you delete a file from a plan or service type, it will no longer be available in Services.

To delete a file from a plan:

  1. Select the Plans page in the top navigation.

  2. Select a plan from the service type you're working with.

  3. Select the Order tab.

  4. Find the file you need to delete:

    • If you uploaded the file to the entire plan, go to the Files section on the left sidebar.

    • If you uploaded the file to a specific item, select that item from the order of service, and then select the Files tab.

  5. Hover over the file and select the ✏️ edit icon.

  6. Select Delete at the bottom of the popup.

  7. Select Yes, delete it! to finish deleting the file. This file can be recovered within 30 days.

To delete a file from a service type:

  1. Select the Plans page in the top navigation.

  2. Select the ⚙️ settings icon to the right of the service type you're working with.

  3. Choose Settings from the dropdown.

  4. Scroll down to the Files section and find the file you want to delete.

  5. Hover over the file and select the ✏️ edit icon.

  6. Select Delete at the bottom of the popup.

  7. Select Yes, delete it! to finish deleting the file. This file can be recovered within 30 days.

Tip

You can bulk delete plan files and recover recently deleted files within 30 days on the Files page.
