Manage files and storage

People with editor permissions or higher can see how much storage space you use in your Services account and delete any unneeded files. You can enable extra storage if you've run out of space, but don't want to delete any files.

Manage files

You can access files from the Songs or Media page, depending on where you have editor permissions or higher

  1. Select the Songs or Media page in the top navigation. 

  2. Select the Actions button in the top right.

  3. Choose Manage Files from the dropdown.

From the Files page, you can see all the files uploaded to your account.

  • Review how much of your allotted file storage you've used in the top right.

  • Select the Filter menu in the top left to expand your filter options.

  • Add a text filter to search for a file by name.

  • Select the column dropdown (three vertical lines) in the top right of the list to select which columns to display:

    • Attached To: See where each file is uploaded. If you have files attached to past plans or plan items, delete them to free up space in your account. Check out the guide on attachments for more information.

    • Size: Show the file size

    • File Name to view the file name.

    • Type: Sort the list based on file type (e.g., PDF, MP3, etc.)

    • Created: See when the file was uploaded to Services.

    • Licenses: View file licensing information. Check the tracking licenses article to learn more about how licenses work.

  • Hover over a file to take action on it:

    • Select the ✏️ edit icon to edit a file's details.

    • Select the download icon to download the file.

    • Select the eye icon to view a PDF file or the ▶️ play icon to play an audio file.

Bulk delete files

You can delete multiple files at once to free up storage in your account.

  1. Select the Songs or Media page in the top navigation.

  2. Select the Actions button in the top right.

  3. Choose Manage Files from the dropdown.

  4. Select the checkboxes next to the files you want to delete. Select the checkbox at the top of the list to select all files on this page.

  5. Select the Delete X files button at the top of the list.

  6. Type "DELETE FILES" (case sensitive) into the warning popup.

  7. Select Yes, delete to delete these files. Deleted files can be restored up to 30 days after the initial deletion.

Warning

Files are permanently deleted after 30 days. Once a file is permanently deleted, you lose any history associated with it, including reporting and streaming logs, which are commonly used for end-of-year reporting.

Restore recently deleted files

If you accidentally deleted a file, you can restore it within 30 days of deletion.

  1. Select the Songs or Media page in the top navigation.

  2. Select the Actions button in the top right.

  3. Choose Manage Files from the dropdown.

  4. Select the ⚙️ settings icon in the top right of the Files page.

  5. Choose Recently deleted files from the menu options. Files deleted within the last 30 days will appear in the list. View the columns next to the file name to check when each file was deleted and who deleted the file.

  6. Select Restore next to the file you want to restore.

  7. Select Done once you've finished restoring the files. Files are permanently deleted from your account after 30 days.

Enable extra file storage

If you need more storage, you can always upgrade your account to a plan with a higher storage limit. However, if you don't need additional team members, you can enable extra file storage for your current paid plan.

  1. Select the Songs or Media page from the top navigation.

  2. Select the Actions button in the top right.

  3. Choose Manage Files from the dropdown.

  4. Select the ⚙️ settings icon in the top right of the Files page.

  5. Choose File Storage from the dropdown.

  6. Select Enable extra file storage. Before enabling this setting, you can review the projected monthly cost based on today's usage.

  7. Select Submit to finish the process. You'll be charged the additional amount during your next billing cycle.

Once you enable extra file storage, you will be charged a prorated amount based on the amount you use:

  • For every extra 1GB of storage you use, you'll be charged $1.

  • If you only use half a GB (500MB), you'll be charged $0.50.

  • If you only use a quarter of a GB (250MB), you'll be charged $0.25.

To turn off extra storage, you'll need to delete files to fit within your limit first:

  1. Select the Songs or Media page in the top navigation.

  2. Select the Actions button in the top right.

  3. Choose Manage Files from the dropdown.

  4. Select which files to delete.

  5. Select Delete X files at the top of the list.

  6. Type "DELETE FILES" (case sensitive) in the popup.

  7. Select Yes, delete to finish deleting those files.

  8. Select the ⚙️ settings icon in the top right of the Files page.

  9. Choose File Storage from the dropdown.

  10. Deselect the Enable extra file storage box.

  11. Select Submit.

Manage audio permissions

You can manage the default permission settings for audio files in your account!

  1. Select the Songs page in the top navigation.

  2. Select the Actions button in the top right.

  3. Choose Manage Files from the dropdown.

  4. Select the ⚙️ settings icon in the top right of the Files page.

  5. Choose Audio Permissions from the dropdown. 

  6. Select a default access setting for your audio files:

    • Allow Download: Allow people to download new audio files by default. 

    • Stream Only: Audio files will only be available for streaming. Only people with permission to override can download files.

  7. Select which permission level can override the default audio permission setting. People with this permission level can download any audio file and change the access setting for individual files (even if the default is Stream Only).

  8. Select Submit to apply your changes.

How do integrations affect file storage?

When integrating other programs, consider their settings and the effects they will have on your storage. If files are uploaded automatically from other integrations, you must manually remove those files you don't want in Services.

ProPresenter

Within ProPresenter's settings, there's an option to Automatically Upload Documents and Media from ProPresenter to Services.

If you enable this option, anything added to ProPresenter will be uploaded to Services, and your storage will quickly increase. Make sure you have located that option within ProPresenter before integrating it with Services.

Song file integrations

Depending on which song file integration you're using, imported files may or may not count towards your storage limit.

  • SongSelect: PDF files imported using the SongSelect integration count toward your storage limit.

  • PraiseCharts: PDF files imported using the PraiseCharts integration don't count toward your storage limit unless imported before April 2024.

  • MultiTracks: Audio and PDF files imported using the MultiTracks integration don't count toward your storage limit.
