Share event request forms

Share your event request forms with the public so they can submit event requests! You can share your form's Church Center URL or share it with a group in Planning Center Groups.

Share the form URL

Copy your form's Church Center URL and send it to the people who need it, or paste the link on your church's website.

Important

Event request forms aren't listed on the public Calendar page in Church Center, so they can't be embedded.

  1. Select the Forms page from the top navigation in Calendar.

  2. Choose the form you'd like to share.

  3. Select the Settings tab.

  4. In the Sharing section, select Copy next to the Church Center URL.

  5. Paste the URL to share it on your website, or add it to a custom page or navigation menu in Publishing.

Share a form with group leaders

If your church uses Groups and you want leaders to request rooms and resources for their events, share a form with their group type! When you share an event request form with a group type, leaders can create their event in Groups, then use the form to request rooms and resources in Calendar.

Warning

If you use the Groups feed to sync events, check out the section on how to avoid duplicate Group events first. Event request forms and feeds both create event pages in Calendar, so you'll end up with duplicate Calendar events if you use them together.

To share your form with a group type:

  1. Select the Forms page from the top navigation in Calendar.

  2. Choose the form you'd like to share.

  3. Select the Settings tab.

  4. Go to the Sharing section.

  5. Search for a group type in the Share to Groups field.

  6. Select a group type from the list to share your form with its leaders.

Once you share your form with a group type, leaders from that group type can select the calendar icon at the top of a Groups event to add their event to the calendar.

When a leader first creates an event in Groups, the Groups feed automatically creates a corresponding Calendar event. If that same leader uses an event request form to request rooms and resources, their form submission will create a second Calendar event with duplicate information.

To avoid duplicate events, you can either:

  • Disable the group type's feed before sharing your event request form. If you disable a group type's feed, Calendar events will no longer be automatically created whenever someone creates an event in that group type. Group leaders must use the event request form if they want to add their event to the church calendar.

    Warning

    Disabling a group type's feed permanently deletes any Calendar events that were previously created by the feed, so you would need to manually recreate those events.

  • Keep the Groups feed enabled and manually add rooms and resources. If you'd prefer to keep using the Groups feed, you'll need to manually collect room and resource requests from leaders instead of sharing the event request form.

    When a group leader creates an event in Groups, the corresponding Calendar event will automatically be created by the feed. You must then manually add rooms and resources to the Groups feed event after communicating with your group leaders.
