Assign response notifications

When a person accepts or declines a position, a team leader can receive a status notification. Choose a team leader or all team leaders to receive notifications from the team settings page, so that person can reschedule the position if it's declined or assign a specific team leader to receive an individual's response.

Update team setting

When you create a new team, all team leaders receive scheduling responses; however, you can change that person to a specific team leader or the current scheduler on the team settings page.

  1. Select the Plans page in the top navigation.

  2. If you have multiple folders, select the folder that contains the service type you're working with.

  3. Select the ⚙️ settings icon to the right of the service type you're working with.

  4. Choose Teams from the dropdown.

  5. Select a team's name from the list.

  6. Select the Settings tab.

  7. Choose a setting from the Replies to dropdown:

    • Current Scheduler : Choose this setting if different people share scheduling responsibilities and you want replies to go to the person who handles scheduling. If the current scheduler is not a team leader, use the checkboxes to indicate whether they should receive notifications when someone chooses to Accept or Decline.

      Important

      The Current Scheduler setting is tied to the person who added a team member to a plan, even if they're no longer a team leader. For example, if a previous team leader set up the templates for this team, they'll be considered the Current Scheduler.

    • All Team Leaders: Send scheduling replies to all team leaders.

    • Choose a specific team leader's name from the dropdown to send scheduling replies to that leader only.

  8. (Optional) Select Yes, update in the popup to update this setting for currently scheduled team members.

Update for individual team members

If specific team members need to respond to different people, select their name from the plan's Teams tab.

In the popup, select a different person from the Replies To dropdown, then select Save.

Important

When the default Replies To person for the team is set to Current Scheduler, the person who scheduled the individual is automatically selected.

Reschedule after declines

When a person declines a scheduling request, a needed position is created for someone else to fill that spot, and decline emails include other people assigned to that position to quickly and easily reschedule someone else.

When a scheduler selects a person from the list to reschedule them, the person is scheduled, and the notification email is immediately sent. The scheduler is taken to the plan and will see a notification about the newly scheduled person.

If another scheduler tries to fill that position later, they will also be taken to the plan but will receive a notification that the position is no longer needed and that no new scheduling emails have been sent.
