Update the school year for a group

Promoting grades in Planning Center People doesn't affect the status of any groups you've set up by grade level. To reflect the grade promotion, create a new group for the promoted members and rename the current group to reflect the past school year.

Rename the current group

After promoting grades, you can rename your current group to reflect the change from the past school year.

  1. Select the Groups page from the top navigation in Groups.

  2. Select the group you need to rename.

  3. Select the Settings tab from the left sidebar.

  4. In the Basic info section, rename the group by adding the date of the prior school year. For example, if your current group is 2nd Grade Parents, add the previous school year's date to change it to "2nd Grade Parents (2025-2026)".

  5. Select Save.

Create a new promoted group

Once you've renamed the previous group, create a new group for the promoted members and name it after the upcoming school year (e.g., "3rd Grade Parents (2026-2027). The best way to copy members into the new group is by duplicating the previous school year's group.

  1. Select the Groups page from the top navigation in Groups.

  2. Select the previous school year's group (e.g., "2nd Grade Parents (2025-2026)" to open the member list.

  3. Select Actions in the top right.

  4. Choose Duplicate group from the dropdown.

  5. In the popup, rename the group after the upcoming school year (e.g., "3rd Grade Parents (2026-2027).

  6. (Optional) Select a new group type if you use different group types based on grades.

  7. Check the boxes next to the group Options you'd like to copy into the new group.

    Important

    Make sure to check the Members box if you need to copy students or parents into the new group.

  8. Select Duplicate in the bottom right to create the new group.

Tip

If you don't need to see the previous school year's group on the Groups page, you can archive it after duplicating it. This will keep the attendance history and reporting intact for that group and will show accurate Groups participation data by grade in People activity feeds.
