Promote grades

Promoting grades lets managers move everyone in your database up one school grade with just a few clicks.

What to know before you promote grades

  • Groups are unaffected by grade promotion: children will not automatically be moved from the Jr High Boys group to the High School Boys group because their grades changed from 8th to 9th.

  • Before you promote, ensure that other administrators are aware when it's over so they won't duplicate it.

  • This feature cannot be used for multiple campuses that promote on different schedules.

  • People in 12th grade will have all school info removed.

When to promote grades:

Promote grades during the week before your promotion weekend, after your last children's ministry event for the week.

Promote grades before VBS registrations begin or after the VBS event occurs to ensure you have the most current data.

What to do with children not assigned to a grade:

Choose your starting grade to be Pre-K or Kindergarten.

After you promote grades, create a list to find everyone who should be going into the starting grade (based on age or birthdate range) and who does not have a grade assigned. Use bulk actions to assign them to the starting grade.

How promoting grades affects Check-Ins events:

If you use the advanced age filters, and your Promotion Sunday date has changed from last year, update the advanced age filters before your Promotion Weekend.

Ensure your location filters are set up correctly. Those who typically check into Locations that use grade filters may see a different location when they check in.

How to promote grades

You must have manager permissions in People to promote grades.

Does your organization use a different grade structure than the default setting? An organization administrator can change your account's grade list in Account settings.

  1. Select the People page from the top navigation.

  2. Select the ⚙️ settings icon in the top right.

  3. Choose Promote grades from the dropdown.

  4. Use the dropdown to select the grade from which to start promoting.

  5. Select Yes, promote grades.

  6. Select OK.

Undo a recent promotion

If you promoted too soon or realized some grades were incorrect, you can undo the promotion within 14 days.

  1. Select the People page from the top navigation.

  2. Select the ⚙️ settings icon in the top right.

  3. Choose Promote grades from the dropdown.

  4. Select Recent promotions in the popup.

  5. Select Undo promotion next to the one you want to undo.

  6. Select Undo promotion.

Use lists to find kids who are in either the age bracket of those who would move up or have been checked into a specific location in Check-Ins. Once you've determined the criteria to find the correct kids, use bulk actions to assign the proper grade to their profiles.
