Filter people
The filter options on the People page allow you to narrow down people based on teams, tags, dates, or permissions. Filters can be pinned so they're automatically applied when you first load the page.
Once you've filtered your list of people, you can use the action bar at the top to email, print, or download a CSV file of the list. You can also make bulk edits by selecting the ✏️ edit icon.
Add filters
You can find people using a text filter or by expanding the filter menu.
To add a text filter:
Select the People page in the top navigation.
Select the Add text filter search bar at the top of the list.
Enter a name, phone number, or email address in the filter bar.
Press
returnorenteron your keyboard to apply the text filter. The text filter will appear next to any other previously applied filters in the filter bar.To remove the text filter, select it and choose Remove from the dropdown options.
Expand the filter menu to find people based on their team, tag, date, or permission:
Select the People page in the top navigation.
Select Filter in the top left to expand the filter menu. You can also type
fto open and close the filter menu quickly.Select either the Teams, Tags, Dates, or Permissions tab to see the filtering options for that category.
Apply a filter option by selecting the dropdowns or checkboxes under each tab. All applied filters will appear in the filter bar above the list of names.
To remove a filter, select it from the filter bar and choose Remove from the dropdown options.
To clear all filters, select the X on the right side of the filter bar.
Each filter menu tab has different features you can use to narrow down your search. Expand the sections below to learn about each filter menu option.
In the Teams tab, you can filter by team, position, or advanced filters.
Select the Team, Position, or Advanced tab in the Filter By section.
Team: Find people assigned to at least one of the selected teams.
Position: Find people assigned to at least one of the selected positions.
Advanced: Find people based on whether they're assigned or not assigned to specific positions across multiple teams. You can use this option to mix and match conditions.
Select a dropdown option to filter the list based on My Teams (any teams to which you've been assigned), All Teams, or Archived Teams. You can also choose to view all teams or positions from a specific folder or service type.
If you selected the Teams or Positions tab, select the checkbox next to a team or a position to include it in the filter. Each selection acts as an OR condition, rather than an AND condition, allowing you to view everyone assigned to any of the selected teams/positions.
Tip
Service type initials appear next to each team or position to indicate all of the service types to which this team or position belongs. Hover over a team or position to view the entire names listed for each corresponding service type.
If you selected the Advanced tab, select the dropdowns under each team name to expand the checkbox options for each position. You can mix and match conditions to find people who are assigned to specific positions in one team but not another, for example.
Select a position from the "In" or "Not In" section to apply a filter based on whether they're assigned or not assigned to that position. Choosing a position from "In" deselects it from "Not In" since they cancel each other out.
Select Any to select all the positions from the "In" section.
Select None to select all the positions from the "Not In" section to help you find those who do not belong to those positions.
In the Tags tab, filter by Tag or Tag Group.
Select the Tag or Tag Group tab from the Filter By section.
Tag: Find people based on which tags are assigned to them.
Tag Group: Find people who have at least one tag across multiple tag groups.
Select a folder from the From dropdown to view the tag groups for that.
If you selected the Tag tab, expand the dropdown under a tag group and select the checkboxes next to any tags you'd like to include in the filter.
Choose Any to see people assigned to at least one tag in the WITH section.
Choose None to see people not assigned to at least one tag in the NOT section.
To find people with specific tags, choose the tag in the top WITH section.
To find people who do not have a tag assigned to them, choose the option from the NOT section at the bottom.
If you selected the Tag Group tab, select the checkboxes next to each tag group you'd like to include in the filter, or choose Select All Below.
Select a relative date from each dropdown to find people based on the following:
Created Profile: When they were first added to Planning Center Services.
Updated Profile: When a person's profile was last updated by themselves or someone else.
Last Set Blockouts: When a person added blockout dates or clicked "I Have No Blockouts" within a blockout request email.
Last Logged In: When a person last logged in to Services.
Last Scheduled Plan: The date for the last chronological plan in which a person has been scheduled.
Each date field allows you to choose specific dates or dates relative to today. When choosing relative dates, such as Past Day, the current time is used as the endpoint, meaning Past Day is the last 24 hours.
You can search for people according to their permission level. Permissions in ascending order are scheduled viewer, viewer, scheduler, editor, and then administrator.
Highest Permission: Show people by their highest permission across all service types, folders, songs, and media. If you choose Exactly from the first dropdown, you can choose to view archived profiles in your organization.
People and Plans/Service Type: Choose a service type or folder, and then the permission for that service type or folder. If their permission for a service type is set to Same as Parent and is therefore inheriting from the folder, the inherited permission is used, since that determines what a person can do.
Songs: Show people by their permission level for the Songs page.
Media: Show people by their permission level for the Media page.
Team Leader: Show people who've been added to any team as a team leader.
Rehearsal Team: Show people who are or are not part of the rehearsal team.
Background Check: If you track background checks, view those who have cleared a background check or if the check is missing. Missing shows people who have never had a background check or whose results are pending or need action.
Filter logic
Sometimes, you want to find people who have Option A and Option B, and sometimes, you want to find people who have Option A or Option B.
Checkbox options = OR. When you select options within a single filter, you can imagine that those options are joined with the word 'OR'.
Filter to Filter = AND. When you add additional filters, you can imagine the word AND between them.
Knowing this logic can help you apply advanced filters in different ways.
Tip
When you change filters in any way, the web address URL of the page is changed to reflect the exact filters you've applied. If you frequently use multiple combinations of filters, you can bookmark a filtered page to save time.
My teams
The filter bar shows any filters that have already been applied. By default, a Teams filter is pinned and applied, and it will filter based on your role.
If you're a team member with viewer permissions or higher, you'll see the Teams: My Teams, which will filter your results to show only people on your teams.
If you're a team leader, you'll see the Teams: Any I Lead filter, which will filter your results to see people on any teams you lead.
If you select the Teams filter, a dropdown menu opens, displaying the options within that filter. If you have at least scheduler permissions, you can change My Teams to other folders or service types to filter to teams you aren't a part of.
The buttons at the top let you quickly select teams from the list below.
Selecting My Teams selects all the teams in the list.
If you are a team leader, you can also see the Any I Lead button, which lets you select the teams you lead.
You can also select and deselect individual teams in the list.
Important
People with viewer permissions cannot see individuals who aren't part of the teams to which they are assigned. As a result, they can't change the My Teams dropdown box to see other teams, they can't remove the My Teams filter, and they must have at least one team checked.
Pinned filters
Yellow filters are pinned and applied automatically whenever you return to the page. The filter itself is what is pinned, not its options, so each time you return, it will remember the options it had last.
If you don't want a filter automatically applied, select it in the filter bar and select the UnPin button in the dropdown.
Unpinning a filter will turn it gray, but you can remove it if you don't want to use it.
